How to Share Files and Folders Through OneDrive

Sending personal information such as your driver’s license, passport, birth certificate or SSN, should always be done so in a secure manner to prevent unauthorized access to your personal information. While the IT team works hard to protect our systems from unauthorized access, the user must be aware that sending these sensitive documents through email is not secure. We recommend that you either encrypt your email, or use OneDrive to save your documents and provide a secure link to the recipient. See Email Solutions to learn how to Encrypt an Email.
 

First, go to OneDrive. Find the file or folder you would like to share. When you hover over the file, you will see three dots appear. clicking on it pulls up a pop up menu.
Click the “Share” button in that menu .

A box will pop up prompting you to enter the email address of the person you want to share the document or file with. Enter the email address and a message, or type in a name which will locate people listed in your directory. By doing this, you are not directly sending the document or folder but a secure link so that person can access the shared information. By default, the link is only viewable by the specific people you give permissions to. Also, people are unable to edit the document or folder by default. If you need to change either or both of these settings you can do so by clicking the eye symbol to the right of the menu, or, by clicking the settings button down by the “Copy link” button.  In the settings menu, you can change who can have access to the file as well as their edit permissions. If you have changed the link settings, hit “Apply”. Then hit send from the send link page once you have entered all recipients.

If you are trying to send information through a medium other than email, click on the file to highlight it, and then click on the “Copy link” button at the top of the menu right next to the “Share” button. You can now paste the link in the medium you want and send it. The copy link button is also available in the “Send Link” box of the previous step.

OneDrive will notify you via email that the link you sent has been clicked.
